0:00:28 Again, welcome to the Friday, February 9th Friday Connection. And it's going to be a kind of exciting day today. Uhm, it started off as an amazing Friday and it's only going to get better.

0:01:35 I quickly want to go ahead and start by just being really excited that we, we being my team, updated and fixed probably the biggest headache in our entire system and that has to do with our email templates and the email templates not allowing the image size to be adjusted it's been fixed, it got pushed

0:01:57 live this morning, uhm it does require each user to do something but it's kind of easy, uhm you just have to actually load, open that template and save it.

0:02:08 Uhm but it now has the ability for you to uhm edit the images. And what I'm going to do is try to find one that, that had the issue and then show you the fix.

0:02:23 So. I believe this, like this might be an example of the old issue and hopefully as we open this template up we'll be able to see, uhm, see the correction.

0:02:40 The problem is we were fixing them all and I don't know if we actually saved any of the, the old version.

0:02:47 I do apologize for my internet. It's one of the reasons I'm off camera is my internet's really slow today for some reason.

0:02:53 Uhm, but as we scroll down, we see, We've got an image. Uhm, if we now click it and select it, you now have the ability to adjust the width of the image even in a preset template and it, it looked good.

0:03:09 Uhm, I just humbly, Sorry that this was an issue, I, I didn't actually know about it until one of our new practices upgraded and they started using this.

0:03:19 Uhm, I, the reason that is, I would imagine, and I'm kind of shocked by it, is if you were to start a new, template, the, that issue never happened.

0:03:31 Uhm, it was only with our pre-loaded templates. So, and then we went and did a search. Most practices are actually creating them from scratch, which makes us know that we probably need better templates.

0:03:43 Uhm, or that, Practices were aware of that and they just went and started creating it. But the good thing is, now moving on, anytime you were to go to a basic or premium template and you want to use it, the images are now dynamic and you can, adjust the size.

0:04:02 Something that's also really exciting and another humble experience is FXMedSupport started out sending emails from my google account and then like my gmail account and then as we grew we used HubSpot and as we've been evolving and we've created our newsletter tool and our bulk email tool, we were still

0:04:25 using HubSpot until just this very week and so we understand how difficult the transition from another email builder to ours can be, especially when we're the creators of our own and we actually just implemented it.

0:04:40 We've been sending one-off emails with our system for a long time but to actually sync our system with our current HubSpot system create a newsletter and then send it out using our our newsletter system.

0:04:53 We did that for the first time on Wednesday and we wanted to use this opportunity to go into the analytics side and just see what the analytics look like because it's the first time that we've ever done a newsletter.

0:05:09 So inside the bulk email system, I'm going to go to analytics and log and you can see that if we scroll down, right here is the newsletter we sent.

0:05:22 Another thing, I don't like that this is showing UTC time. I believe we should be converting this to your local time or your practices set time.

0:05:33 So sometimes we get into what is better to show the user's actual time or the system's times because a lot of us don't work in the same time zone that our servos set to.

0:05:44 But I definitely don't like UTC. But so we scheduled this for 11 a.m. And that happens to be 1700. We sent it to 590 email addresses.

0:05:56 When we actually decided to process the emails and send them out to the email system, we only sent 582. Now that could be for many reasons.

0:06:05 Maybe one of them was already a do not subscribe and so we don't send it to the system. Maybe one of them wasn't, maybe they weren't correct emails.

0:06:17 So there's a few reasons on why on a 590 email account we only sent 582. And then of the 582, we skipped two, most likely because we found a duplicate right at the last moment, or there was another conditional issue.

0:06:35 And they're not issues, these are just general logs, but we're now gonna go to the analytics side right here. I'm gonna click that button.

0:06:41 And what this can show you is, of the 584 that the system actually sent out 51% of the recipients opened the email, which in, which in newsletter world is phenomenal.

0:06:58 It tells me two things. One, you as our community definitely want to hear from us. It also tells me that we aren't talking to you enough, because it's never supposed to be that high.

0:07:10 This is like somebody saying, give me your information, I've been waiting for it. And so that really tells us that we need to communicate more often with our community and at a higher level.

0:07:22 And so we just want to get to the details. So 85% of them got to a successful inbox. That can be for many reasons.

0:07:32 Maybe we weren't saved as a recipient that we can actually go to their inbox. We had 56 true hard bounces, which somebody's actually said, you know, this email doesn't exist.

0:07:44 Or we don't want to hear from you, or we don't take uhm you can set different filters on your on your emails.

0:07:50 Maybe they don't take marketing uhm marketing information. Uhm and so yeah. This is the analytics for the newsletter that we sent out.

0:07:59 Oh and there's 6.67 uhm click rate. Uhm we will start showing more dynamic information, what link was clicked, who clicked it, who opened it.

0:08:13 Now, especially now that we're going to be using this system. It will be updated and so that we all have the information we're looking for.

0:08:22 Uhm, I'm going to now, is there any questions yet? Nope, no questions yet. I now I'm going to jump into what I think are just some of.

0:08:32 The really big updates. They're going to be inside of our Portal Automator system. So one, we're really trying to improve the overall look.

0:08:43 Those of you that have been with us for a long time, we know that our system was originally built to have kind of like the Serbo square box look.

0:08:52 Everything we built has like square boxes and it looks like the Serbo square box. I think when we built it originally it made sense, but I think needing to evolve.

0:09:04 To have a more dynamic user experience is kind of where we're going to start heading. Which is why when we go into the Automator, it has that type of look.

0:09:13 But real quickly, now that we have the Automator open, what I'm going to do is go into our legacy automation system.

0:09:20 And so this is the, the system, our legacy system, and for those practices that have been using this for a long time and there are some practices that have thousands, or sorry, hundreds of automations, thousands of triggers of those automations, and it's not gonna necessarily be so easy to just go and

0:09:41 take an automation that was already created in the legacy system and have to go build, rebuild them all. And so we built you a convert button.

0:09:50 We are working on bulk convert so you can multi-select. But right now we're just doing single convert. And so what we do is you would go to the automation that you want to create inside the new visual system and you simply click the convert button.

0:10:07 It's gonna ask you if you sure you want to do this and today we're going to say yes and we're going to say yes let's convert it.

0:10:14 It's going to let you know that automation number 1287 became automation 2414. So when we go into our visual automation system we should be looking for automation 2414.

0:10:27 It's right here and it will also let you know that it was converted from legacy and it will give you the legacy number.

0:10:35 If that legacy automation was turned on it will still be on. So it doesn't turn off because you notice that this one gets created turned off.

0:10:49 So we had to choose and we just figured because your patients are currently in a flow and that legacy automation is the one that is currently doing the work.

0:10:59 We're gonna leave that on to allow you to just come in. We advise you to rename it because because you don't need that it was converted anymore unless you want to.

0:11:20 You can put a description and so today we're gonna put a description. I'll eventually be pulling pulling this this back but for today's we're gonna add a description and say Friday and I'm just saying to template because I'm going to show you how to push it to the template system.

0:11:48 You can create a tag. Let's say this was a patient create or uhm a uhm. A new patient. A new patient.

0:12:02 Create. So you get to pick the category and so because we will be pulling this one back we'll just put it in new patients and we'll hit save.

0:12:17 Because our automation has all fields inside of it, you can now come over and post to community and when you post to community it's going to tell you it was a success, and we can go right here.

0:12:48 Now, when you're the owner of your template, you can come and edit, and delete, so today we'll delete, uhm, when you are not the owner, you can open it, and just evaluate it, and then uhm download.

0:13:14 Another really exciting event that happened is, and I don't know why this didn't happen sooner, but we got reached out to by a lot of practices since the beginning of the year and they just, all of them said, Kevin, we love Wednesday Connection except we can never make it because we see patients during

0:13:33 Wednesdays. Uhm, and then I kinda just. Thought about over the years of being connected to practices and I don't think there's a single medical practice that isn't seeing patients on Wednesday at 10am.

0:13:44 Uhm, so we're not cancelling it because it works really well for some. But what we're doing now is introducing the Thursday connection, uhm, later in the afternoon, so Thursday at 1 o'clock.

0:14:00 A lot of practices do not have patient appointments at Thursday at 1 o'clock, unless you're a very, very busy practice.

0:14:08 Or maybe a, a DPC, or something like that, uhm, just, it's not a very common appointment time schedule. And then obviously our Friday connection, uhm, and I think the Friday connection might actually get longer, depending.

0:14:24 As we grow. Uhm, I do see there's a question that has to do with, with an automation. Uhm, what is your automation?

0:14:40 Hey, Kevin. Uhm, so I have built the automation. Let me pull it up. Uhm, basically when we create a lab order, specifically, uhm, and we have all of our lab orders, like the panel specifically named.

Can you see my, uhm, Nope, but my system allows me, so if you can see my screen, my system allows me to jump into any one of our applications without me having to look at your, because we built this because a lot of times practices want our help, but yet I, I don't

0:15:42 want to see all the patient data, and like in this example, we don't need to see, you know your, so yes, so uhm I'm going to go to, ooh you don't need both, let me turn, I'll turn your basic off, but yeah, okay, so in your automator system, which number are we going to be talking about?

0:15:56 Uhm, well, let's start with 2348. Alright, which is currently turned on, and let's see what we're doing. So I would say definitely now that we give you the ability to add a description, uhm, and but let me see.

But if you have the referral and then inside that user you have have like all their information, you could say, when a like if I'm inside this encounter of looks like I've had a I recently had this talk. If you're inside this encounter and you want

Our automated system can say, oh this encounter just happened or this happened and the referral tag was added. And because that referral tag was added we now can package certain information
