This guide walks you through how to map appointment types, programs, rooms, memberships, and resources between Cerbo and Mindbody.

Overview

Once the Cerbo & Mindbody integration is connected via the Setup Guide, you need to configure the mapping between both systems. This includes mapping appointment types, programs, rooms, resources, staff, and memberships. Proper mapping ensures that data syncs accurately between Mindbody and Cerbo in both directions.

Before You Begin

• The Cerbo & Mindbody integration must already be set up and connected (see the Setup Guide)
• Your Mindbody credentials must be saved and the initial sync must be complete
• You should know which appointment types, rooms, programs, and memberships need to be mapped
• Cerbo resources and tags should already be created in Cerbo before mapping

Step 1: Open the FXMedSupport Widget

1. On the right side of the Cerbo screen, click the FXMedSupport circular icon to open the widget.
2. Click Available Apps at the top of the widget.
3. Under the Scheduling section, click Cerbo & Mindbody to open the integration.

Step 2: Map Mindbody → Cerbo Appointment Types

1. Click the Mindbody -> Cerbo Appointment Types tab at the top.
2. You will see a table with two columns: MindBody Appointment Type on the left and Cerbo Appointment Type on the right.
3. Click the Sync Appointments Types button to pull in your Mindbody appointment types.
4. Once synced, your Mindbody appointment types will appear in the left column (e.g., Dermashape 15 minute add-on, Glo2 - Signature Glow, Glo2 - Clinical Glow, etc.).
5. The Cerbo Appointment Type column on the right will display "Mindbody" by default, meaning these appointments will appear in Cerbo under the Mindbody category.
6. Review the list to confirm all appointment types are synced correctly.

ℹ️ The Sync Appointments Types button pulls the latest appointment types from Mindbody. Click it whenever you add new appointment types in Mindbody to keep the mapping current.

Step 3: Configure Mindbody Program/Rooms Mapping

1. Click the Mindbody Program/Rooms Mapping tab at the top.
2. You will see two sections: Program -> Resource Mapping and Rooms -> Resource Mapping.
3. To enable program mapping, check the Use Program Mapping? checkbox.
4. To enable room mapping, check the Use Rooms Mapping? checkbox.
5. You can enable one or both depending on your needs.

💡 Tip: If your practice uses both programs and rooms in Mindbody, enable both checkboxes to ensure complete mapping coverage.

Step 4: Map Mindbody Rooms to Cerbo Resources

1. In the Mindbody Program/Rooms Mapping tab, scroll down to the Mindbody Rooms / Cerbo Resources section.
2. You will see your Mindbody rooms listed on the left (e.g., Consult Room #1, Consult Room #2, Elle's Cafe, Yoga Studio).
3. For each Mindbody room, click the dropdown on the right under Cerbo Resources.
4. Select the corresponding Cerbo resource from the dropdown (e.g., EBO2 Dallas, Weight Loss Provider Schedule, Quest Lab @ Austin Alive + Well Clinic, BOULDER IV/SHOTS, NUTRABOLT IVS + SHOTS).
5. Repeat for all Mindbody rooms that need mapping.
6. Click Save Changes when finished.

Step 5: Map Mindbody Programs to Cerbo Resources

1. In the same Mindbody Program/Rooms Mapping tab, scroll down to the Mindbody Program / Cerbo Resource section.
2. You will see your Mindbody programs listed on the left (e.g., Colon Hydrotherapy, Alive and Well Events, Sauna and Contrast Therapy, Massage Therapy, Acupuncture).
3. For each Mindbody program, click the Please Select dropdown on the right.
4. Select the corresponding Cerbo resource from the dropdown.
5. Repeat for all Mindbody programs that need mapping.
6. Click Save Changes when finished.
Step 6: Set Up Membership Mapping

1. Click the Membership Mapping tab at the top.
2. You will see a table with two columns: MindBody Membership on the left and Cerbo Tags on the right.
3. Your Mindbody memberships will appear on the left (e.g., Membership Series, Founding Membership Deposit, The Joy Ride Membership).
4. For each membership, click the text field in the Cerbo Tags column on the right.
5. Enter the Cerbo tag name you want to assign to patients who have that membership.
6. Repeat for all memberships that need tag assignments.
7. Click Save Changes when finished.

ℹ️ Membership mapping allows you to automatically assign Cerbo tags to patients based on their Mindbody membership. These tags can then be used to trigger automations — for example, sending a welcome email, a follow-up message, or a call when a specific membership tag is assigned.

Step 7: Configure Cerbo → Mindbody Mappings

1. Click the Cerbo -> Mindbody Mappings tab at the top.
2. Click the Map Matching Types button to auto-map matching appointment types between Cerbo and Mindbody.
3. Click the Sync Rooms Resources button to sync room and resource data.
4. Under Default Mindbody Appointment Type, click the Please Select dropdown and choose a default appointment type that will be used in Mindbody when no specific mapping is set.

💡 Tip: Setting a default Mindbody appointment type ensures that any Cerbo appointment without a specific mapping still appears correctly in Mindbody.

Step 8: Map Cerbo Resources to Mindbody Rooms and Staff

1. In the Cerbo -> Mindbody Mappings tab, scroll down to the Cerbo Resources / Mindbody Rooms / Mindbody Staff section.
2. You will see your Cerbo resources listed on the left (e.g., EBO2 Dallas, Weight Loss Provider Schedule, Quest Lab @ Austin Alive + Well Clinic, BOULDER IV/SHOTS).
3. For each Cerbo resource, click the Mindbody Rooms dropdown and select the corresponding Mindbody room (e.g., Consult Room #1).
4. For each Cerbo resource, click the Mindbody Staff dropdown and select the corresponding Mindbody staff member from the list.
5. Repeat for all Cerbo resources that need mapping.

Step 9: Map Cerbo Appointment Types to Mindbody Appointment Types

1. In the Cerbo -> Mindbody Mappings tab, scroll down to the Cerbo Appointment Type / MindBody Appointment Type section.
2. You will see your Cerbo appointment types listed on the left (e.g., EBO2 Consult Virtual - Austin).
3. For each Cerbo appointment type, click the Please Select dropdown on the right.
4. Select the corresponding Mindbody appointment type from the dropdown.
5. Repeat for all Cerbo appointment types that need mapping.
6. Click Save Changes when finished to save all Cerbo → Mindbody mappings.

⚠️ Warning: Always click Save Changes after completing your mappings on each tab. Unsaved changes will be lost if you navigate away.

Troubleshooting

Appointment types are not showing up → Click the Sync Appointments Types button on the Mindbody -> Cerbo Appointment Types tab to pull the latest types from Mindbody.

Rooms or resources are not appearing in dropdowns → Click the Sync Rooms Resources button on the Cerbo -> Mindbody Mappings tab. Make sure the resources are created in Cerbo and the rooms exist in Mindbody.

Membership tags are not being assigned to patients → Verify that the correct tag name is entered in the Cerbo Tags field for each membership. Ensure the tag already exists in Cerbo.

Mappings were lost after navigating away → You must click Save Changes on each tab before switching to another tab. Go back and re-enter the mappings.

Default appointment type is not working → Make sure you selected a valid appointment type from the Default Mindbody Appointment Type dropdown and clicked Save Changes.
